Pack 3025 Parents Meeting

1) Meeting called to order by John Henry

3) Approval of previous meeting minutes – July minutes reviewed and approved

·         Secretary

·         The pack schedule was reviewed by the group.  The Aug 14 pack meeting was moved to Aug 21, and the August den meeting was canceled.  Soap and wood carving will be the theme of the pack meeting to be held at Liberty Park.  More information to be shared as it becomes available.  Fall recruiting needs to be scheduled.  Chris will get information on fall activities at Ingawanis.

·         Treasurer

·         Troop financial report – As of July 31, The general fund was $1518.25, with an additional $157.83 in the scout accounts.  Not reflected in these balances are a pending $158.75 deposit for the June can drive, and a charge of approximately $260 to make reservations for last weekend’s twilight camp at Ingawanis.

·         Scout Account purchases – please send copy, photo, or scan of receipt from scout office to Chris to keep track of expenses and the account balance.

·         Outdoor/activities

·         Wolf Den police station visit August 1, report.  The boys were attentive and enjoyed the visit.  Thank you Wolf Den for organizing.  A thank you will be prepared and signed by the boys to send to the station.

·         Twilight and overnight camp at Ingawanis Adventure Base, August 6, report.  The evening went well and everyone had a great time.

·         Upcoming activities – For recruiting it would be helpful to have a list of planned big activities (campouts, visits to various places, etc) for the year.  Everyone is to bring ideas for at least 2 activities to the next meeting to get the ball rolling.

·         Advancement

·         Advancement activities – The Tiger Den had 3 boys earn the Tiger badge in June, and the Wolf Den had 3 boys earn the Wolf badge in early August.  Good job Cub Scouts!

·         Chaplain

·         Is anyone interested in attending the Basic Adult Leader Outdoor Orientation training on Oct 15 at Camp Ingawanis?  Contact John Henry or Chris Klaren for more information.

·         Fundraising

·         August 6 pop can drive – good participation by the scouts, although the number of bottles and cans collected seemed down a bit.  Next can drive planned for September 10.

·         Andy Wolter is taking over the leadership of the pop can drive for the pack.  Many thanks to Kirsten Kane for starting this up and leading it for the past year, the pack has benefited greatly from it.

·         Popcorn fundraiser – The group reviewed the pros and cons, and decided that the pack would not participate, relying instead on the can drive and other potential fundraisers if needed.

·         Membership

·         Fall recruiting plans – Brian will talk to Mr. Becker to make arrangements for recruiting.

·         Will recruiting include Lion Cub Scouts?  The pack will not recruit Lion Cub Scouts this year due to the extra leadership needs of the program.

·         Round Table Update

·         Round table representative needed for August 11 as Chris will not be available.  The topic is scheduled to be fall recruiting.

5) Old Business

·         Annual pack planning process.  A provisional program and budget for the year were reviewed.  Original advancement costs contained $28 per boy for new manuals, neckerchief, and slide as they moved into the next den for the school year.  Cash flow projects, based on past income and anticipated expenses showed drop in the pack’s fund balance from $1462 to $546 over the next 12 months.  Removing that from pack expense increased the year-end balance to $938.  It was believed that more emphasis on the pop can drive would help stay revenue neutral for the year, and if not then partial or full registration costs could be paid by the participants in the following years.  Activities will need to be self-funded with our current level of income.

6) New Business

·         Campout fees – how should we charge to cover campout costs?  Equal cost for youth, adults and siblings?  Or another way?  How should we collect campout fees?  All of a family’s cost from the scout account, if available?  And if not available?  Should we collect a camping fee from campers before leaving for the campout?  We have two campouts (July and August) that need to be resolved.
The July campout has been deemed as a pack event, with the pack picking up the expenses.  Expenses for the August twilight camp, and future activities, will be charged against the Scout accounts maintained by the pack.  The expenses will include those for the cub scout and accompanying family members.  If funds are insufficient, then notices will be sent to the families asking them to pay the remaining balance.

7) Announcements             

·         Next parents meeting Monday, September 12, 2016 at The O.P. (on Ridgeway Ave across from West High), meeting starts at 7:30 PM.
