Pack 3025 Parents Meeting

1) Meeting called to order by John Henry at 7:30 pm.

3) Review of previous meeting minutes – July meeting minutes approved

4) Reports:

·         Cubmaster

·         No report

·         Secretary

·         Review pack schedule for next 3 months.  Schedule was reviewed, the Nov 2-4 pack campout was added.

·         Treasurer

·         Pack financial report:  The pack’s bank accounts total $3,635.74, with $2193.55 in the general fund and $1442.19 in scout accounts.  Outstanding amounts to be deposited include expected pop can checks of $386 for July, $408 for August, $500 for Elks parking, and $31 in cash for scout donations during Elks parking.  Scout account balances can be found at http://troop1waterloo.org/1/pack25/ScoutAccounts.pdf.  Contact Chris Klaren for other details.

·         2018/2019 operating budget – the group reviewed 2 budget options, the first similar to previous years, the second which charges existing members for annual rechartering fees but returns more of the pack fundraisers to the scout accounts to help defray those costs.  After much discussion, the group adopted the second budget option.  Current scouts will be charged $52 each to cover their fees and provide handbooks to them.  Webelos 2’s not needing a new handbook will be charged $35, which is $17 less, reflecting the handbook they do not need.  Effective for fundraisers after Sep 1, pack fundraisers will return 2/3 of amount raised at a fundraiser to help defray these annual pack “dues”.  Families choosing to sell popcorn as a fundraiser will receive 100% of those earnings in their scout accounts.  We will work with families of current and new scouts that may not be able to afford these fees.

·         Outdoor/activities

·         Sep 9 trail ride, Oct 7 Sunday at the Quarry, Nov 10 and Feb 15-16 Webelos at the Bluedorn Imaginarium have been added to the pack calendar.  These are optional activities, web links to information can be found on the pack website.

·         Nov 2-4 pack campout – Chris will reserve the cabins at Camp Ingawanis for this weekend.

·         Panther football game – John will get information to see what may be available for group ticket rates for families of the pack to attend.

·         Advancement – advancement activities, none for the last month.

·         Webelos 2’s plan to finish their Arrow of Light and to cross over to Boy Scouts as soon as possible, in December.

·         Service Projects

·         Pop can tabs for Ronald McDonald House, report.  Tabs were not collected as sorting returnables occupied everyone’s time during the fundraiser.

·         Chaplain – Religious awards, update.  Mike is waiting for a few signatures before sending the group’s information to the diocese.

·         Training – New Youth Protection Training – Mike Treinen will host a group Youth Protection Training at his home on September 6.  Details will be posted on the pack website and emailed to the registered adult group.

·         Equipment – Summer usage of scout garage – over the summer we learned that one of our scout garage keys was loaned to the Waterloo Schools food service to store meals for a summer meals program at the parking lot.  Nobody from the pack was informed that this was going to happen.  This is a security issue as the door was found once to be totally unlocked, and other times when the deadbolt was not secured.  This puts our scouting equipment (trailer, tents, camping equipment, etc.) at risk without our knowledge.  After school starts we will follow up with the church and school to learn more and resolve the issue.

·         Fundraising – Last pop can drive, July 7, report.  We expect to gross about $408 for the August can drive.  The 4 scouts participating will have about $50 each transferred to their scout accounts.  Next can drive is September 8.

·         Managing Elks parking lots for Irish Fest, report.  8 adult leaders worked two 3.25 hour shifts Saturday Aug 4.  The pack will receive a check for $500 from the Elks for our share of the proceeds, and it will be split between the pack and the scout accounts as previously agreed upon (2/3, 1/3 respectively).

·         Do we want, or need to sell popcorn as a pack?  Or just make it available to those that choose to do so?

·         Membership – Recruiting schedule:

Thursday, Aug 23 first day of school, send recruiting fliers to all boys K-5.  130 fliers have been ordered.

Monday, Aug 27 council will have “kid talk” with all boys K-5 and any girls K-5 whose parents choose to have attend.

Tuesday, Aug 28 cub scout recruiting in the St. Eds gym 5:00-7:00 PM.

·         Current understanding with the school is that we won’t actively recruit girls this fall, but will allow them to join if they ask us.

·         Activity plan for 2018-2019 was reviewed and a few changes are being made.

·         Prospective scouts will be outside playing gaga ball while parents are at the recruiting meeting.

·         Mike Treinen will see if he can find time to put together some photo layouts for recruiting night.

·         What is the speaker plan for the recruiting meeting?  We will go over that and other plans after Sunday evening’s den meeting.

·         Review fees for new members to join.  New member will be charged the cost for 2018 registration and 2019 recharter fees, as well as cost for age appropriate cub scout handbooks.  Anticipated cost for new members is $65 for grades 1-5, and $58 for Lions (kindergarten).  Costs can be defrayed by participating in pack fund raisers and/or by selling cub scout popcorn.  We will work with families of prospective scouts that may not be able to afford these fees.

·         Lions will wear the Lions t-shirt instead of the blue uniform shirt.

·         Round Table Update – First round table of the new school year, lots of information was shared.

·         10th Annual Nate Nicholson Trail Ride, Sep 9, 1:00-5:00 PM, Ingawanis Adventure Base

·         Sunday at the Quarry, Oct 7, 11AM-4PM, BMC’s Raymond Quarry, 6900 Dubuque Rd

·         Webelos at the Bluedorn Science Imaginarium:  Nov 10 Webelos Adventures in Science Day, 9AM, 11:30AM, 2PM; Webelos Build My Own Hero Overnight, Feb 15-16 6PM-9AM

·         Webelos uniforms – tan shirts only are the official uniform, blue shirts are no longer an option.

·         The district and council have Facebook pages for anyone to visit and learn more.

5) Old Business

·         Class B shirts – no report

6) New Business

·         Troop 1 update – The troop will look at rechartering in late 2018 for our past Webelos 2’s that want to continue in scouting, and our current Webelos 2’s that plan to cross over in December.  Matt Hennig has volunteered as Scoutmaster to get the troop underway.  Thank you Matt!

7) Announcements      

·         Next parents meeting Monday, September 17, 2018 at The O.P. (on Ridgeway Ave across from West High), meeting starts at 7:30 PM.
