Pack 3025 Parents Meeting

1) Meeting called to order by Chris Klaren at 7:32 pm.

2) Attending:  John Henry (latter part of meeting); Chris Klaren; Jeff Patrick; Michael Smith; Chris Steies; Mike Treinen

3) Review of previous meeting minutes – November meeting minutes approved

4) Reports:

·         Cubmaster

·         No report

·         Secretary

·         Review pack schedule for next 3 months:  The Flapjacker pancake breakfast fundraiser at the UAW on Feb 23 was added to the schedule.

·         Health forms, update.  One cub scout health form has yet to be received.

·         Treasurer

·         Pack financial report:  The pack’s bank accounts total $6702.01, with sub accounts as follows:

Recent deposits include new member registrations, $658 for November can drive (record high), $200 for campout fees, and $465 for popcorn sales.  Recent expense is $75 for reimbursement for campout food, $480 for popcorn payment to the council, and $43 for activity supplies.  Scout account balances can be found at http://troop1waterloo.org/1/pack25/ScoutAccounts.pdf.  Contact Chris Klaren for other details.

·         Campout fees, update.  The November campout income exceeded expenses by $155.67, less than $4 per camper.  The group agreed to leave the funds in the general fund account.

·         Outdoor/activities

·         Dec 16 – Pack Christmas party, report.  Lots of treats and activities, everyone seemed to have a good time.

·         Jan 20 – Hand out pinewood derby car kits at den meeting

·         Feb 3 – Scout Sunday:  Chris will follow up with Andy for event coordination.

·         Feb 15-16 - Webelos Build My Own Hero Overnight.  Possible Webelos activity, although it conflicts with the Klondike Derby on Feb 16.

·         Feb 16 – Klondike Derby, Webelos.  The 2 Webelos dens are looking at this as a possible Feb activity.

·         February 23 - Polar Bear Day Camp, Camp Ingawanis, 9:30 - 4:00.  Possible activity for all dens.

·         March 3 – Pinewood Derby & Blue/Gold banquet.  Chris Steies will coordinate, and will get with leaders to determine what has worked well in the past.

·         Future activities for Jan/Feb discussion, continue from November.  Along with consideration for past activities, Mike will contact the Black Hawk County Sherriff’s Office about a potential visit.

·         Advancement – advancement activities

·         Tigers were awarded several belt loops at the Christmas party.  Way to go Scouts!

·         Service Projects

·         Pop can tabs for Ronald McDonald House, on-hold.

·         Chaplain – Religious awards, update.  Father Scott presented the religious medals at the Nov 4 pack meeting.  Wolves are working on the Light of Christ award, and Webelos are working on Parvuli Dei, both with intentions to finish in early spring.

·         Training –

·         Equipment – Chris will look in the church storerooms for the bridge used in past pack crossover ceremonies.

·         Fundraising – Last pop can drive, Dec 1, report.  The December can drive is expected to net $270, with a return to the 6 participating scouts of approximately $30 each.  The November can drive of $658 was a new record high, netting each of the 11 participating scouts nearly $40.  The next can drive is scheduled for Jan 5.

·         Elks Parking – Mike has agreed to coordinate volunteer sign-up for parking at the Elks Lodge for My Waterloo Days and Irish Fest if the opportunities become available.  Thank you Mike!

·         Membership – Pack membership for the in-process rechartering is expected to be 30 scouts and 12 adults.  This compares with 28 scouts and 10 adults from a year ago.

·         Round Table Update – We did not attend December roundtable, but picked up the packet from the scout office.  It included information on:

·         Friends of Scouting sign up – As in past years, we will schedule this for our pinewood derby and blue/gold banquet.

·         Registration for Polar Bear day camp on Sat, Feb 23 at Camp Ingawanis – information links on our pack web page

5) Old Business

·         Scoutmaster/Cubmaster fund discussion, continue from last month.  The Cubmaster fund is being renamed to Campership fund.  Changes were made to the Scout Account description to transfer funds from the account of a scout leaving the pack to an active sibling in the pack, if that option exists.  The text for both descriptions are shown following these meeting minutes.

·         Rechartering, update.  This is currently in process, with membership enrollments as described previously.  Total for rechartering should be approximately $1606.

6) New Business

·         Discussions with Troop 29 and Pack 3528 at Blessed Sacrament. A number of pack leaders met with Troop 29 and pack 3528 leaders on Nov 26 to discuss potential impacts of the announced closing next school year of K-5 grades at Sacred Heart and Blessed Sacrament schools.  We discussed the potential merging of their pack with ours as all recruiting will be at St. Eds next year, and using the pack as a feeder pack for Troop 29.  The discussion was very positive, and we agreed to have internal discussions and meet again at a currently undetermined time in the next several months.

·         Communications from B.S.A.:  As many of us may have seen in the news last week, the national level of B.S.A. is looking at options to mitigate financial risk and viability to the national organization, including reorganization (not liquidation) under bankruptcy.  This is does not affect the viability of our pack or our council, as national is a separate financial entity.  The leaders received an email from the council explaining the situation, and it will be forwarded to all parents in our pack.

7) Announcements      

·         Next parents meeting Monday, January 14, 2019 at The O.P. (on Ridgeway Ave across from West High), meeting starts at 7:30 PM.

8) Adjournment – Upon having completed the evening’s business, the meeting was adjourned at approximately 9:10 pm.

Campership Fund

The Pack has established and maintains a fund to help Scouts with financial hardships participate in Pack campouts or other activities that they otherwise would not be able to attend.  The fund is intended to provide “seed money” to supplement money earned by the Scout and any other available “campership” funds,

Requests for access to the campership fund should be directed to the Pack Cubmaster, Committee Chairman, and/or Treasurer.  That group will consider the requests and allocate funds based on fund balance and availability of other funds.

A summary of the funds expended will be provided as part of the Treasurer’s report to the Pack Committee.  The names and/or number of Scouts receiving funds will not be disclosed to preserve confidentiality.

The fund will be replenished with special designated fundraisers throughout the year or other means as the Pack Committee sees fit.  Forfeited amounts from scout accounts of inactive scouts will be applied to this fund.


Scout Accounts (changes underlined)

Each Scout has an account that is maintained with the Pack.  (Please note that the terms Scout accounts and individual accounts are used interchangeably and refer to funds retained by the Pack for use by the Scout to fund his scouting activities.)  A Scout’s share of the profits from a fundraiser is transferred into the Scout Accounts by the Treasurer after a fund raiser is completed.  A Scout may request funds from his account at any time to pay only for scout-related expenses such as pack outings (including summer camp) and the purchase of clothing and equipment from the Scout office.  Parents may also make a deposit to their Scout’s account at any time for the same uses.

Any remaining balance in a Scout’s account is forfeited to the Pack if a Scout becomes inactive or otherwise quits Scouting for more than one continuous year.  The only exception is that the funds may be transferred to an active sibling’s account in the pack.  Scouts transferring to another unit should have their new Troop contact our Treasurer to make a transfer of their account funds.
